This policy explains how AI Media (“we”, “us”) collects and uses personal information when you visit our website, get in touch with us or work with us. We keep it simple: we only collect what we need, we never sell your information, and you can ask us about it at any time.
1. Who we are
AI Media is the trading name of Lewis Jones, a sole trader based in the UK. We make AI property tour videos, websites and AI tools for businesses. Under UK data protection law we are the “controller” of the personal information described here, which means we’re responsible for looking after it.

2. The information we collect
- Details you give us. When you fill in our contact form, email us or message us on Instagram, we collect your name, email address, phone number (if you give it), business name and anything you include in your message.
- Information about your business. Before or while we work with you, we may use information about your business that is publicly available, such as your website, your property listing or your business contact details.
- Project materials. If you work with us, we use the materials you send us, such as listing photos, logos, text and access details for your website or accounts.
- Technical information. Our website is hosted by Webflow, which may automatically record basic technical details such as your IP address and browser type to keep the site secure and working. We don’t use advertising or analytics cookies on this website.
3. How we use your information
- To reply to your enquiry and send you a quote.
- To carry out the work you ask us to do and keep you updated.
- To contact businesses about services we think could help them. You can ask us to stop at any time and we will.
- To keep the records we need for accounting and tax.
4. Our legal reasons for using it
- Contract: when we need your information to prepare a quote or provide a service you’ve asked for.
- Legitimate interests: to reply to messages, run and promote our business and keep our website secure. We only rely on this when it doesn’t override your rights.
- Legal obligation: to keep the financial records the law requires.
- Consent: where we ask for it, for example before sending marketing emails to an individual. You can withdraw your consent at any time.
5. Who we share it with
We never sell your information. We only share it with trusted services that help us run our business, such as:
- Webflow, which hosts our website and receives contact form messages
- Microsoft, which provides our email
- Meta (Instagram), if you message us there
- The AI tools we use to create videos, images and websites, when you ask us to make something from your materials
Some of these services may store information outside the UK. When they do, they use safeguards approved under UK data protection law.
6. How long we keep it
- Enquiries that don’t lead to any work: up to 12 months.
- Records for clients, including invoices: up to 6 years, as UK tax rules require.
After that, we delete it securely.
7. Your rights
You have the right to:
- ask for a copy of the information we hold about you
- ask us to correct anything that’s wrong
- ask us to delete your information
- ask us to limit or stop using your information
- object to us using your information, including for marketing, at any time
- ask us to send your information to another organisation
- withdraw your consent where we rely on it

8. Complaints
If you’re unhappy with how we’ve handled your information, please tell us first and we’ll try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk or on 0303 123 1113.
9. Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last changed.
